Leave Scheduler for Administrative/Exempt Employees

As a reminder, all exempt employees have a Leave Scheduler, located in the to track the use of sick time. Based on the current policy, administrators may take a reasonable amount of sick leave, which may be beyond the requirement of providing 56 hours. Employees will be allowed to carry over annually up to 56 hours, to a maximum of 112 hours. Unused sick leave balances have no monetary value and will not be paid out at termination or retirement for exempt employees. Employees and/or their supervisors are still required to notify human resources of absences that exceed three days.

In order to continue to comply with the N.Y. Sick Law requirements, exempt employees should enter the amount of sick leave taken on the corresponding date, using half-hour increments (the specific time of day is not required). Supervisors and human resources will have shared access to the leave scheduler.

Flexible Spending Participants

As a reminder, 2024 health-care claims may be incurred until March 15, 2025, and must be submitted to Lifetime for reimbursement by June 30, 2025.  

2024 Dependent funds must be used for services incurred from January 1, 2024 to December 31, 2024. 

Claim forms for both the health care and dependent care plans as well as the procedures to enroll in an online account if you have not already done so.can be found on the Benefits website under Other Benefit Providers.

As a reminder, most debit card purchases can be substantiated or validated through the card transaction but you may be prompted to provide a copy of the receipt for certain transactions in accordance with IRS regulations.  Receipts should be kept for the same retention period of income tax returns.

Emeriti Retiree Health Savings Participants

As a reminder, benefit-eligible employees hired on or after July 1, 2012, and who are 40 years of age or older, are automatically enrolled in the Emeriti Retirement Healthcare Savings Program. This plan is designed to help cover qualified medical expenses in retirement.

Key program details include:

  • University Contributions: Colgate provides a monthly contribution to an account in your name. For the fiscal year 2024鈥2025, this amount is $89.10 and will increase annually by 3%. Contributions are made for a maximum of 25 years.
  • Voluntary Contributions: You may also make post-tax contributions to your account. Please contact Human Resources if you are interested in contributing.
  • Leaving Colgate: If you leave the University before meeting retirement eligibility, Colgate's contributions will be returned to the University. Any voluntary contributions you make will remain in your account.
     

Transition to OneBridge Benefits

Currently, University and voluntary contributions are invested through TIAA. Effective December 27, 2024, contributions will be transitioned to OneBridge Benefits, and the Emeriti-VEBA Trust will no longer appear on your TIAA account.

This transition will introduce several program enhancements:

  • A single call center for account inquiries.
    Appointments with OneBridge representatives to address your plan questions.
    Simplified access to funds, eliminating the need to transfer balances to a money market account for claims.

After logging in, check your account information for accuracy. If needed, you can make updates to your contact information, covered individual information, investment allocation (if applicable), and account preferences.

Colgate EAP Resources

BRiDGES EAP is a workplace benefit that provides assessment, referral, and short-term counseling to employees and their immediate family members. All callers will receive up to five free sessions per issue per year with an EAP professional for confidential support. 

BRiDGES is available by phone Monday through Friday, from 8 a.m. to 5 p.m. at 315-697-3947.  In-person, virtual, and phone sessions are available .

Madison County Mental Health Department (315-366-2327, option 1), The mental health department offers a crisis line 24 hours a day. You can call 315-366-2327 and press 1. During business hours, this line goes to office staff, where clients may ask to speak to an available clinician. Individuals are also seen at the office on an emergency, walk-in basis.

Appointments are available on February 10 and March 10.

New Retirement Participant with Fidelity Don't forget to create your NetBenefits online account. 
    Go to and click 鈥淩egister as a new user.鈥 Follow the instructions to set your unique username and password. Then log in to see the features of your 海角社区 Defined Contribution Retirement Plan account. Remember: Don鈥檛 reuse passwords and avoid weak, commonly used passwords.
    The NetBenefits lets you customize your experience. You can select a topic for more information when prompted, or you can watch the demo from start to finish and then learn more.
